What it is
The AI features help with tasks such as suggesting tags and classifications for images, and reading text out of documents you attach, for example a script when you create a project. The result is a suggestion. A result you have not accepted yet carries an "AI suggestion" mark. The tags the AI has set on an image carry an "AI tagged" mark until you mark them verified, and its less certain tags wait under Suggestions until you accept them.
Which documents can the AI read?
The AI reads PDF files, photos and scans, Word files (.docx and the older .doc), Excel files (.xlsx), OpenDocument spreadsheets (.ods), PowerPoint files (.pptx), and plain text and CSV files. The oldest Excel format (.xls) is not read: save the file as .xlsx or PDF and drop it again. A file with a password, or one that is damaged, is not read either. The message tells you which, and the file stays in Attachments.
They are optional
Nothing is sent to an AI provider unless you, or a user in your organization, start an AI feature, or the company admin has turned on automatic tagging for a catalog. Automatic tagging is off by default and applies only to images uploaded after it is turned on. Every tagged image costs credits; when the credits run short the image is still uploaded, it is left untagged, and you can tag it by hand later. The content you submit is used for that analysis and is not used to train the providers' models through our integration. You are responsible for having the right to send the content, for example images of people and documents with personal data.
The info icon
Next to the line «Uses AI» there is a small info icon. Hover over it, focus it with the keyboard or tap it to see a short note: the AI providers do not use your data to train models. The note links to the privacy policy. Press Esc or tap outside it to close it.
A company administrator can turn them off
Under section 8.2 of the terms, an administrator in the business can turn AI features off for the whole business. The same tasks can then be done by hand.
Do the task by hand
- Tags and categories on images. Enter them yourself in the catalog instead of using the suggestions.
- Documents. Skip attaching documents when you create a project, and fill in the fields yourself.
Check the result
Always check the AI result before you use it: it can be wrong. Read the privacy policy and the terms for details.
When the AI reads a call sheet, a line it is not sure about stands under Needs a check. Look at it before you approve. When the call sheet makes a new day, the day stands there too, and an unclear row says so under it.
What a document read costs
When a read is paid with credits, the price follows what the AI provider charges for the model that reads, times the platform's markup. The estimate shown before you choose to read is worked out the same way, so a change of model or of the provider's price shows up in the estimate straight away, up or down. You pay for what the read actually uses.
Why does it say the price cannot be calculated right now? PRICE_UNAVAILABLE
The price of the model that reads could not be found. The read does not start, and nothing is reserved or charged. This is a fault on our side. Try again later, and quote the error ID if it keeps happening.
